These terms apply to all motorhome bookings with [Business Name].
1. Booking
A booking is only confirmed once we have received the required booking deposit and issued confirmation. The person making the booking is responsible for all drivers and passengers.
2. Payments
A booking deposit is required to secure your dates. The remaining balance must be paid by [X days] before collection. If payment is not received on time, we may cancel the booking.
Accepted payment methods include bank transfer, debit card, credit card, and other agreed methods.
3. Security Deposit
A refundable security deposit of £[amount] is required before hire begins. This may be used to cover damage, missing items, excess cleaning, fuel shortages, late return charges, fines, or insurance excess.
The deposit will be returned after the motorhome has been checked, usually within [X working days], provided there are no issues.
4. Driver Requirements
All drivers must:
- Hold a valid driving licence
- Meet our insurance requirements
- Provide required ID and licence checks before hire
- Be named and approved before driving the motorhome
Only approved drivers may drive the vehicle.
5. Collection and Return
The motorhome must be collected and returned at the agreed times.
Late returns may be charged at £[amount] per hour/day. The motorhome must be returned clean, with the same fuel level, and with all equipment included.
6. Use of the Motorhome
The motorhome must be used responsibly and only for normal holiday travel. It must not be used for racing, towing without permission, illegal activity, off-road driving, or sub-hire.
Smoking is not permitted inside the motorhome.
Pets are [allowed / not allowed / allowed by agreement].
7. Fuel, Gas and Mileage
The motorhome will be supplied with [fuel level] and must be returned with the same level.
Mileage allowance is [unlimited / X miles per day]. Extra mileage may be charged at £[amount] per mile.
Gas usage is included unless otherwise agreed.
8. Cleaning and Toilet
The motorhome must be returned in a clean condition. The toilet cassette and waste water must be emptied before return.
Extra cleaning charges may apply if the vehicle is returned dirty, smoked in, or with the toilet/waste not emptied.
9. Insurance and Damage
Insurance is included for approved drivers, subject to the policy terms. The hirer is responsible for any damage, loss, theft, or costs not covered by insurance.
The insurance excess is £[amount] per claim.
Any accident, damage, theft, or breakdown must be reported to us immediately.
10. Breakdowns
Breakdown cover is included. If the motorhome breaks down, you must contact us and follow the breakdown provider’s instructions.
We are not responsible for delays or loss of holiday time caused by breakdowns, accidents, traffic, weather, or circumstances outside our control.
11. Fines and Charges
The hirer is responsible for all fines, parking tickets, tolls, congestion charges, speeding penalties, and other charges during the hire period.
12. Cancellations
If you cancel your booking, cancellation charges may apply:
- More than [X days] before hire: [terms]
- [X–Y days] before hire: [terms]
- Less than [X days] before hire: [terms]
We may cancel a booking if payment is not received, driver checks fail, required documents are not provided, or the hire cannot proceed safely.
Cancellation charges should be fair and proportionate. UK guidance says unfair consumer terms are not binding, and vehicle rental services for specific dates may not have the standard 14-day cooling-off period.
13. Personal Belongings
We are not responsible for personal items left in the motorhome.
14. Availability
If the booked motorhome becomes unavailable due to damage, breakdown, or circumstances outside our control, we will try to offer an alternative vehicle or refund payments made for the hire.
